What is a Document Sign Request?

When a new eSignature request is created and sent to one or more individuals for signature collection via the DoxAI Sign platform, the process is referred to as the Document Sign Request. A single Document Sign Request may include multiple pages and/or signers.

What are the file types and restrictions?

eSignature accepts docs, .docx, .pdf, .txt, .jpg, .jpeg, .png,.ppt, .pptx, .bmp, SVG, up to 10 MB in size and a maximum of 200 pages long.

How can I download the completed signed documents?

The completed signed documents can be downloaded by viewing the “Completed” request on dashboard and downloading the signed documents. If you were the initiator of the signature request, then the downloaded file will contain the audit report and the signed document. The document is also available for download via the confirmation email sent once the signature request is completed.

Is eSignature compatible with both mobile and desktop devices?

Absolutely! eSignature works seamlessly on both mobile and desktop devices and is fully compatible with all major web browsers. This means you can sign and manage documents anytime, anywhere.

Can I customise the signature request process?

Yes, eSignature allows fully customisable signature workflows including hierarchy-based signing orders and assigning to someone else actions.

Can I set an expiry date for the signature request?

Yes, an expiry date can be set for a signature request, and you can also set reminders.

How does auto follow-up work?

eSignature automatically sends reminders and alerts before expiry dates to ensure timely signing.

Can I schedule sign requests by region or time zone?

Yes, you can schedule requests based on regional and time zone settings defined in your organisation’s preferences.

How secure is my document?

Documents are stored with AES 256-bit encryption in a secure e-vault. Data is always encrypted in transit and at rest.

Is 2-factor authentication supported?

Yes, eSignature uses 2-step authentication with access codes for enhanced security.

Can I upload documents to the cloud?

Yes, all document uploads are cloud-based for accessibility and safety.

Can I upload multiple files at once?

Yes, multiple file uploads are supported for both individual sign requests and templates.

Can I customise fields?

Yes, you can fully customise field text styles, colours, and sizes.

Does DoxAI provide an audit trail?

Yes, full audit trails and detailed reporting are included for compliance and tracking.

What is a Sleeve ID?

A Sleeve ID is a unique identifier to check the authenticity of a completed signature request against the DoxAI database for verification. You can find the Sleeve ID on the Audit Report.

Can eSignature seamlessly integrate with existing workflows?

Yes, eSignature offers effortless integration with established workflows through APIs, UI elements, or IFRAME solutions, enabling smooth execution of signatures.

What format will the signature request completed files be in?

Both the completed document and the audit report will be in PDF format.

What is an Anchor Tag?

An anchor tag is the predefined text string, enabling users to place the signature fields in the documents before upload. Once the document has been uploaded, the system checks for those predefined anchor tags and places the signature fields based on the anchor tag type and location of the tag in the document.

How do I enable the Anchor tags in the document?

To enable the anchor tags, the keyword “anchor tags” needs to be mentioned in document properties of the document.

Do I need an Adobe reader or PDF reader to sign the document?

No, you do not require Adobe reader or PDF reader to sign the document.

Do other signers need to have a DoxAI account?

No, other signers do not require a DoxAI account to sign the document.

How is eWitness different from eSignature?

eWitness allows the witnessing of the documents while documents are being signed in real-time via video conferencing. On completion, the initiator can download the video of the real-time signing, audit report and the signed document.
